Data Retention is the policies of record management to meet the standard of data archival requirements. It is necessary so that it will not lead to too much information that could lead to operational inefficiencies, unnecessary cost, and legal security risks.

Data Retention Policy

Data retention policy is a protocol and guideline in an organization for retaining information use and how the organization could dispose the information that is no longer needed. Data retention policy includes:

  • Classification information where the data is collected and how it is used
  • Specification on how long the information is stored
  • Information about which standard is being used and how the organization ensure to comply with the standard
  • Information about how the organization store, secure and back up the information
  • Information about how to dispose the data and how users could request deletion of their data
  • Responsibilities when there are data breach or policy violation
